Terms & Conditions

These Terms & Conditions ("Terms") govern your access to and use of SmartPilot (the "Service"), operated from Bengaluru, India. By creating an account or using the Service you agree to these Terms. If you do not agree, do not use the Service.

1. The Service

SmartPilot provides appointment booking, queue management, customer CRM, WhatsApp/email reminders, and invoicing tools for service businesses. Features and limits depend on the plan you purchase.

2. Eligibility & account

You must be at least 18 years old and able to enter a binding contract. You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account.

3. Acceptable use

  • Do not use the Service for unlawful, fraudulent, or harmful activity.
  • Do not send spam or unsolicited marketing messages to your customers via SmartPilot.
  • Do not attempt to break, reverse-engineer, or overload the Service.
  • You must have lawful basis (consent, contract, etc.) to upload your customers' personal data.

4. Subscriptions, billing & Razorpay

Paid plans are billed in advance on a monthly or annual basis through Razorpay, our payment gateway. By subscribing you authorise Razorpay to charge the chosen payment instrument (card, UPI, netbanking or wallet) for the plan fee plus applicable taxes (GST).

  • All prices are in Indian Rupees (INR) unless otherwise stated and are exclusive of GST.
  • Subscriptions auto-renew for the same period unless cancelled before the renewal date.
  • You can cancel anytime from Settings → Billing; cancellation stops future renewals.
  • You are responsible for any fees, currency conversion charges, or taxes imposed by your bank or card issuer.
  • Failed payments may result in suspension of paid features after a 7-day grace period.

5. No-refund policy

All payments made to SmartPilot are final and non-refundable. We do not offer refunds, partial refunds, pro-rated refunds, or credits for any reason, including but not limited to:

  • Unused time on a subscription after cancellation or downgrade.
  • Accidental purchases, duplicate payments initiated by the user, or wrong plan selection.
  • Dissatisfaction with features (please use our 14-day free trial before subscribing).
  • Account suspension or termination due to violation of these Terms.

If you believe a payment was charged in error (e.g. a technical fault or a duplicate charge by the gateway), email teams@smartpilot.live within 7 days of the charge with proof; we will investigate in good faith and, where appropriate, reverse only verified gateway errors.

6. Free trial

We offer a 14-day free trial for new accounts. No payment instrument is collected during the trial. At the end of the trial, paid features are paused unless you subscribe.

7. Your data

You retain ownership of all data you upload. You grant us a limited licence to process it solely to provide the Service. Our handling of personal data is described in the Privacy Policy.

8. Service availability

We aim for high uptime but do not guarantee uninterrupted availability. We may perform planned maintenance with reasonable notice. We are not liable for downtime caused by third parties (cloud, network, payment gateway, WhatsApp).

9. Suspension & termination

We may suspend or terminate accounts that violate these Terms, infringe third-party rights, or create legal or security risk, with or without notice. On termination, access ends and unpaid fees become immediately due. As stated above, no refunds are issued.

10. Intellectual property

SmartPilot, its logo, software, and content are owned by us and protected by copyright and trademark law. You may not copy, modify, or redistribute the Service.

11. Disclaimers

The Service is provided "as is" and "as available" without warranties of any kind, express or implied, including merchantability, fitness for a particular purpose, and non-infringement.

12. Limitation of liability

To the maximum extent permitted by law, our total liability for any claim arising out of or relating to the Service is limited to the fees you paid us in the 3 months preceding the claim. We are not liable for indirect, incidental, special, consequential or punitive damages, or for loss of profits, revenue, data or business.

13. Indemnity

You agree to indemnify and hold us harmless from claims arising from your use of the Service, your data, or your breach of these Terms.

14. Governing law & jurisdiction

These Terms are governed by the laws of India. Courts at Bengaluru, Karnataka shall have exclusive jurisdiction over any dispute, subject to mandatory consumer-protection provisions in your state.

15. Changes to the Terms

We may revise these Terms. Material changes will be notified by email or in-app at least 7 days before they take effect. Continued use after the effective date constitutes acceptance.
